As Executive Assistant II, you will report to the Vice President of Product Operations and provide executive support for the Chief Product Officer and, by extension, the broader product organization. You will play a central role in streamlining communication, coordinating priorities, and ensuring operational excellence across a global product leadership team.
Job Description
What you’ll do:
- Provide day-to-day administrative support to the product organization, including calendar management, meeting coordination, and expense reporting
- Proactively manage schedules with strong attention to alignment, priority shifts, and potential conflicts
- Ensure all meetings are properly scheduled, with complete calendar invites including Zoom/Google Meet links, attendees, prep materials, and clear objectives
- Support delivery of internal communications and updates on behalf of the product organization, ensuring clarity, professionalism, and timeliness
- Support the creation of executive-level presentations, spreadsheets, and trackers using PowerPoint, Google Slides, Excel, and Google Sheets
- Organize and manage domestic and international travel, team offsites, and special events
- Assist in planning and executing offsites and team meetings, offering creative methods to enhance engagement and drive outcomes
- Manage complex administrative tasks effectively under tight deadlines
- Maintain confidentiality of sensitive information and support executive communications with professionalism and discretion
- Respond quickly and reliably to requests, often managing multiple time-sensitive items simultaneously
- Ensure a strong understanding of priorities by maintaining a real-time, organized list of tasks and projects, ensuring their timely completion
- Support departmental projects by facilitating information flow
- Continuously identify and implement improvements in administrative processes to streamline operations and increase team efficiency
- Support financial tasks such as invoice processing, travel budgets, and Concur expense submissions
- Strong partnership and collaboration with other company Executive Assistants
- Take proactive ownership of administrative and communication workflows
- Serve as an anchor for the product organization — ensuring accurate, on-time scheduling, documentation, and delivery of all key materials
What you’ll need
- 8+ years of administrative experience, including 5+ years supporting senior executives in a product or tech-oriented environment
- Bilingual in Spanish and English
- Strong attention to detail and a commitment to double-checking logistics for accuracy and completeness
- Demonstrated ability to own tasks from start to finish, consistently delivering high-quality results with minimal oversight
- Fast, reliable response time and ability to manage multiple priorities under pressure
- Advanced proficiency in Microsoft Office and Google Workspace, including Google Meet, Google Calendar, Docs, and Slides
- Comfortable using Zoom, Slack, Confluence, TalentDesk and Concur
- Excellent communication skills and professional demeanor
- Experience preparing and tracking meeting action items and ensuring accountability
- A high degree of integrity and discretion in handling confidential information
- Comfort working across time zones and with distributed teams
What’s good to have
- BA/BS degree strongly preferred
- Draft and manage meeting agendas, capture notes and action items in real time, and ensure follow-through by tracking and sharing updates
- Distribute notes and updates via Confluence, Slack, or email and keep relevant teams aligned and informed
