Lead, Administration
We are looking for an experienced Lead, Administration to supervise daily support operations of our company and plan the most efficient administrative procedures. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently. The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
JOB DESCRIPTION
WHAT YOU’LL DO
- Planning and coordinating administrative procedures and systems and devising ways to streamline processes.
- Serve as the liaison between administrative personnel and senior management, communicating needs and concerns so they can be handled expeditiously.
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
- Manage schedules and deadlines.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Organize and supervise other office activities (recycling, renovations, event planning etc.) Monitors and procures needed supplies for office, reception, mailroom, and kitchen.
- Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
WHAT YOU’LL NEED
Operations Management:
- Responsible for Overall Management of office and administration function.
- To implement all Policies & Procedures as per the laid down standards of organization.
Facility Management
- Responsible for facility management such as House Keeping Services & Manpower Management, Security Management, Cafeteria Management, parking management Events Management, Stationery Management, Access Cards, Photo Identity Cards, Seat Allocation & Capacity Planning.
- Managing repair, maintenance & replacement of office equipments, appliances, furniture, furnishings, vehicles, building, etc
Vendor Management:
- Identifying and appointing vendors after qualifying them on pre-defined parameters of service delivery, rates, lead times for service delivery and quality.
- Controlling the organization-wide procurement activities within budgetary allocations.
- Rate negotiations, Vendor creation.
- Processing monthly bills.
Policy Management:
- Reviewing Admin policies after defined time frame to analyse the outcome of the policies & procedures.
- To work upon the outcome & feedbacks of internal & external customers closely & suggesting changes if required for the betterment of the operations for internal & external clients.
Funds management
- Planning & budgeting the administration expenses and working towards minimizing the operational expenses/ costs, handling accounting operations as assigned
- Executing cost saving techniques/ measures and modifications to achieve substantial reduction.
